Adding New Reference Values using EDP Right-Click Feature

Add new reference values to a database using EQuIS Professional EDP’s right-click feature by following the steps below.

1.Check to make sure that the values are not already in the database.

a.Select the Reference Values tab in Professional EDP.

b.Select the appropriate table.

c.Check for the values.

d.If they do not appear in this list, then continue (only reference values with status flag A appear in this list).

e.Minimize Professional EDP and open the table directly in EQuIS Professional.

f.Select Reference Tables from the Open group.

g.Select the table.

h.If the values do not exist in the reference table, then restore Professional EDP.

2.Click the Format tab located at the bottom of the Professional EDP screen.

3.Select a section where you have found values to add.

4.Right-click on one of the values and choose an option.

Add By Column

Allows the adding of the reference values Professional EDP cannot find as entered and/or approved in the EQuIS database.

Add By Value

Allows adding of only the reference values that have currently been selected to the appropriate reference table.

Add All Values,
All Formats

Allows adding of all of the reference values Professional EDP cannot find as entered and/or approved. This option adds all values for all sections. (EarthSoft recommends not using this option when loading data, to avoid potential data issues).

 

5.Refresh the table. Select EDP Toolbar>Data Group>Refresh>Refresh All.

6.Repeat Steps 3, 4 and 5 until all the new values have been added.

7.Save the EDD.

8.Approve the new reference values.

 

Note: To use the newly added reference values in future EDP sessions, the reference values must be approved before uploading to the database.

 

a.Select the Database Preview tab located to the right of the Format tab, at the bottom of the Professional EDP window.

 

Note: Any reference tables that new values were added to are now green, indicating the new values populating the tables need to be approved.

 

b.Click the appropriate table on the left side of the screen.

c.Look for the new values that were added and observe the STATUS_FLAG field.

 

Note: The STATUS_FLAG field indicates whether or not the new reference value is approved for use or still pending for review. By default, when adding new reference values to a database using Professional EDP's right-click feature, the reference values are assigned an R STATUS_FLAG to indicate the reference values need review and approval.

 

d.For each of the new reference values, review them and change the R to an A.

e.Add additional information to the reference values’ record, (e.g., a description of the value, etc.). Information that is more comprehensive equals better data decisions.

9.Create and Commit a package.

10.Save the EDD.
